A lead can be a prospect or a potential sale. It is the starting point of the sales process in Dynamics 365 Sales.
Let’s understand more about leads inside Dynamics 365 Sales.
Click Leads under Sales to see the list of leads available.
To open any lead, click on the Name or double click a record in the list. The record will open, and you can make changes and perform actions as per your requirements (provided you have sufficient permissions).
You can navigate to another record by expanding the view and selecting the required record.
You can navigate to different tabs and fill the information as per requirements.
There are multiple ways you can create a lead. These are:
- Creating leads manually (quick create and the main form create)
- Importing leads
- Converting email activities to leads
Create Leads Manually
Leads can be created manually by either using the Main form or Quick Create form.
To create a lead using the Main form, you need to open Leads under Sales and click New.
Enter the details in the Summary tab and click Save.
After saving, enter the required details in the Details tab.
And you can add other information, including the Lead Source, Rating, Status, and change the owner of the lead if required.
So, that’s how you can create a lead using the Main form.
Let’s create a lead using the Quick Create form.
To create a lead using the Quick Create form, you can be on any screen of the Dynamics 365 Sales application (you don’t need to be on the leads entity).
Then, click Quick Create icon (as shown below) and click Lead.
Then, you can enter all the required details as shown below and click Save and Close (or you can click Save & Create New to save this lead and create new).
After the lead is created, you can click View Record to see the newly created lead.
It opens the newly created lead in the Main form, and you can edit it. You can also open the newly created lead from the Leads entity by clicking Lead in the sitemap.
Quick Create – Scan Business Card
When you are collecting leads in the form of business cards, it can be challenging to create leads inside Dynamics 365.
In this scenario, the Scan Business Card functionality can be very useful.
You can scan a business card and select that scanned image as a source while using quick create.
Click Scan Business Card.
Select a scanned business card and click Open.
This process will populate personal and contact details as shown below: (email is not populated because it was not in the right format on this business card)
Then, enter the Topic that explains this lead and other required details and click Save and Close.
Converting Email Activities to Leads
You can convert an email activity to a lead. This functionality works with Dynamics 365 App for Outlook (web or outlook) or Dynamics 365 web application.
Open any email and click Convert To, select To Lead.
Change the details if required, and click Convert.
A new lead is created, and the email activity is associated with the lead.
You can also create a lead from Dynamics 365 App for Outlook, as shown below. The email will be associated with the newly created lead.
You can associate emails to lead records. To associate an existing email, you select the email and open Dynamics 365 App for Outlook and set the regarding field as a lead record on the email.
Then select the Lead record type.
Then, select the lead to which you want to associate this email.
The email is successfully tracked and associated with the lead.
You can open the lead and see the associated email.
To associate new emails to a lead, you need to create it from the Lead timeline.
